Accounting Software for HVAC Contractors

For most shops this decision has one deciding question: does the books software talk to your field software? Below are five options priced from their own pages (checked September 7, 2026), and the sync matrix for the ten field platforms we track.

Which accounting software fits your HVAC shop

You run field software, or plan to

Our pick

QuickBooks Online$38–340/mo

The safe rail: every one of the ten field platforms we track syncs with it. Job costing needs the Plus tier ($140/mo).

Your books live in QuickBooks Desktop

The only Desktop product still sold to new buyers. Six of our ten field platforms sync with Desktop; pair carefully.

Solo, invoice-first, no field software

Our picks

Wave$0–19/mo
FreshBooks$23–70/mo

Wave is genuinely free to start; FreshBooks adds estimates with e-signatures. Neither connects to any field platform we track.

Cheapest real double-entry books

Our pick

Xero$25–90/mo

Starts at $25/mo with free ACH bill pay. The catch: its only field-software path is Jobber, one-way, on Jobber's Connect plan or higher.

Which accounting software your field platform can sync with

This is the table to check before either purchase. Facts from each field vendor's own pages; "unconfirmed" means the vendor doesn't state it clearly and we won't guess.

FreshBooks and Wave have no column because none of the ten field platforms offers a sync with either. ServiceTitan also exports natively to Sage Intacct.

The QuickBooks Desktop problem

Since September 30, 2024, Intuit sells no new Desktop Pro or Premier subscriptions; existing subscribers can renew, and Enterprise is the only Desktop product a new buyer can get. Support for Desktop 2023 ended May 31, 2026. If a field-software vendor's "QuickBooks Desktop sync" matters to you, know which side of that line your license is on before you commit to it. Two of the ten field platforms can't sync Desktop at all, and the ones that can disagree about which way the data flows: the QuickBooks comparison has the editions, the plan gates and the catches.

HVAC job costing: which software actually tracks it

Job costing lives in two places, and shops often pay for it twice. In the books, QuickBooks Online tracks project profitability from the Plus tier ($140/mo) up; Desktop Enterprise names job cost tracking "from labor and materials to deadlines and change orders"; Xero gates it to its Established tier and FreshBooks to Premium and Select; Wave's pricing page lists no project or job costing feature.

The finer numbers come from the field software, where the hours and the parts get logged. Seven of the ten field platforms name job costing (FieldEdge sells the same report as job profitability), but only three say which plan includes it: Housecall Pro on its Basic tier, Service Fusion from Plus (an add-on on Starter), and QuoteIQ from Pro. The HVAC job costing software guide compares all ten on what they count and what they charge for it.

The practical read: if per-job margins matter, pick them in the field software and let the books receive the totals. The QuickBooks Plus tier only earns its price if you want the ledger itself to hold the per-job view.

HVAC accounting software questions

Which HVAC software is compatible with QuickBooks?
All ten field platforms we track sync with QuickBooks Online. Six work with QuickBooks Desktop: Housecall Pro, FieldEdge, Service Fusion, FieldPulse and ServiceBox natively, and Kickserv as a $50/mo add-on. ServiceTitan and QuoteIQ leave Desktop unconfirmed on their own pages; Jobber and Workiz do not sync with Desktop.

Does QuickBooks do job costing for an HVAC business?
QuickBooks Online tracks project profitability on the Plus tier and up, $140/mo. QuickBooks Desktop Enterprise names job cost tracking from labor and materials to deadlines and change orders. Shops that log hours and parts in their field software get finer per-job numbers there, and let QuickBooks receive the totals.

Do I need HVAC-specific accounting software?
No. The HVAC-specific layer is the field software: dispatch, flat-rate pricebooks, maintenance agreements, refrigerant tracking. The books are generic, and the fact that decides the accounting choice is whether it syncs with the field platform you run.

What is the cheapest accounting software for a one-truck HVAC shop?
Wave is free on its Starter plan, FreshBooks starts at $23/mo and Xero at $25/mo. Wave and FreshBooks connect to no field platform we track, and Xero only reaches Jobber, one-way, on the Connect plan or higher, so the cheapest choice holds until the day you add field software.

Running more than one trade under one roof? The contractor accounting guide covers the same decision trade-neutrally. And if you're choosing field software at the same time, run the Stack Builder: your accounting choice is one of its six questions, and it treats a missing sync as a removal, not a demerit.
