Card processing from 2.59% and ACH at 1%, milestone invoices for installs, cards on file charged automatically, overdue reminders by text or email, and tips at checkout.
An HVAC invoice has two jobs: get sent before the truck leaves, and get paid without a follow-up call. Ten field platforms compared on what their own pages say about billing installs in stages, charging maintenance agreements automatically, and what they take from every card payment. Billing features as their pages stated them on September 15, 2026.

QuoteIQ charges the card on file every cycle on every plan. Jobber charges cards on file automatically and invoices a whole day's jobs in one batch.
Workiz takes a deposit to confirm the job, then collects at each milestone, with tipping and reminders. FieldPulse generates progress invoices by amount or percentage.

Invoices are created after office review, with deposits and progress payments, and sync to QuickBooks Online, Desktop or Sage 50 Canada. Processing fees are set by the payment provider, not printed.
The invoice belongs in the field software, where the job, the parts and the tech's hours already are, and the books should receive it. All ten platforms sync invoices to QuickBooks, but the handoff has catches the sales pages skip. QuoteIQ's QuickBooks Online sync needs its Pro plan or higher. Service Fusion's job deposits land in QuickBooks as unapplied payments until someone converts them, by hand in Desktop. ServiceBox locks an invoice once it's in QuickBooks Online and asks you to record each payment in only one system. The HVAC accounting guide covers the books side.
What each platform's own pages claim. "Not claimed" means the vendor's pages don't state it, and "Not published" means the vendor doesn't print a processing rate.
| Platform | Deposits and stages | Recurring autopay | Payment reminders | Card rate printed |
|---|---|---|---|---|
| Housecall Pro | Yes | Yes | Yes | Card from 2.59%, ACH 1% |

On a $9,000 system change-out, a single percentage point is $90. Only three of the ten platforms print a card rate on the pages we could read. Housecall Pro charges from 2.59% on cards and 1% on bank payments. Service Fusion prints 2.90% plus 30 cents per card transaction. Kickserv prints 2.9% for tap to pay, 3.9% for cards not present and 1% plus 30 cents for ACH, while a second Kickserv page says "as low as 2.5% + 30 cents for Kickserv Premium subscribers"; ask which applies to you.
Everyone else leaves the number for the sales call. Jobber says its fees are set by your subscription plan, ServiceTitan refers to its "unqualified, keyed-in rate" without a figure, FieldEdge calls its rates competitive, and ServiceBox says fees are governed by the payment provider. Getting paid fast has its own price: Jobber's and Kickserv's instant payouts cost an extra 1% and arrive in about 30 minutes, Housecall Pro's Instapay is typically 30 minutes with no fee printed, and FieldEdge and FieldPulse fund the next business day. QuoteIQ names instant payouts on one page and "about 2 business days" on another.
A homeowner facing a five-figure replacement pays faster with a monthly option on the invoice. Housecall Pro offers Wisetack financing from $500 to $65,000 over up to 120 months, at a flat 3.9% fee to you. QuoteIQ builds Affirm, Klarna and Afterpay into checkout on every plan, up to $30,000, with the contractor paid in full upfront. Workiz names Sunbit and Wisetack, Service Fusion names Acorn, and Kickserv offers Klarna installment plans. Jobber, ServiceTitan and FieldPulse offer financing without naming terms on the pages we checked.
What is the best invoicing software for HVAC contractors?
Housecall Pro if you want every processing fee printed before you sign, with milestone invoices, autopay and reminders. QuoteIQ or Jobber if maintenance agreements billed on autopay are the core of your revenue. Workiz or FieldPulse if you bill installs in deposits and stages, and ServiceBox for commercial shops where the office reviews every invoice.
Which HVAC invoicing apps publish their card processing fees?
Three of the ten platforms we track print a rate on their own pages: Housecall Pro from 2.59% on cards and 1% on ACH, Service Fusion 2.90% plus 30 cents, and Kickserv 2.9% for tap to pay and 3.9% for cards not present. Jobber, ServiceTitan, FieldEdge, FieldPulse, QuoteIQ and ServiceBox do not publish a card rate.
Can HVAC invoice software bill maintenance agreements automatically?
Yes, on four platforms. QuoteIQ charges the card on file every billing cycle on every plan, Housecall Pro bills service-agreement customers monthly, quarterly or annually, Jobber charges cards on file automatically, and Service Fusion runs automatic payments on recurring invoices on its PRO plan or with an add-on.
Does HVAC invoice software sync with QuickBooks?
All ten platforms we track sync invoices to QuickBooks. Check the details: QuoteIQ requires its Pro plan for QuickBooks Online, Service Fusion job deposits need converting before they apply to invoices in QuickBooks, and ServiceBox invoices can’t be edited in QuickBooks Online after they sync.
The deciding number is usually the one vendors don't print. If you can't compare processing costs, you can't compare platforms, which puts Housecall Pro, Service Fusion and Kickserv at the front for anyone watching margins. Maintenance-heavy shops should weigh autopay first, where QuoteIQ includes it on every plan. And shops billing big installs in stages have Workiz and FieldPulse built for deposits and milestones.
The Stack Builder scores all ten platforms on your answers, and the scheduling and dispatch guides cover the rest of the service day.
