QuickBooks for Contractors

If your books live in QuickBooks, that decides your shortlist before any feature does. Two of the ten platforms we track can't touch QuickBooks Desktop at all, and the ones that can disagree about which way the data flows. Every claim below was read from the vendor's own pages on September 16, 2026.

Which field service software syncs with QuickBooks Desktop

Desktop is the dividing line. Seven of the ten connect to it, two rule it out, and Workiz's own pages can't agree with each other. The cheapest Desktop sync in the set also carries a monthly fee on top of the software. "Not stated" means the vendor's own pages never say, which is itself worth knowing before a demo.

Jobber blocks automated reading of its site, so its row is second-hand: the wording comes from an automated summary of its pages rather than from source we can check ourselves, as we do for the other nine.

The two platforms that rule out QuickBooks Desktop

Jobber says it twice and plainly, in wording we could only read second-hand: Jobber does not sync to QuickBooks Desktop, and no information passes between the two. It offers a one-time CSV import of clients, which is a migration, not a sync. QuoteIQ says the same on its QuickBooks page: QuickBooks Online only, Desktop "not supported at this time", with a pointer to Intuit's migration tools. Worth knowing before you get attached to either: a tile on QuoteIQ's features page still advertises "QuickBooks Online and Desktop" with a two-way sync, which its own QuickBooks page contradicts.

Which QuickBooks syncs actually run both ways

Nearly every vendor calls this a sync. Most of them mean an export. Kickserv makes the distinction its selling point and claims a genuine two-way exchange of invoices, payments, customers and items. On Desktop, FieldPulse lets you choose one-way or two-way for estimates and invoices, while its purchase orders and timesheets stay one-way whatever you pick. Housecall Pro's help center says the Online sync "typically functions one-way" with a few exceptions, and Desktop flatly one-way. ServiceTitan's marketing says near-real time while its documentation describes reviewing, batching, posting and exporting. Service Fusion calls its sync bi-directional, then scopes that word to customers, products and services, with deposits, invoices and payments "pushed to" QuickBooks. ServiceBox is the only one that argues against the word itself: "We would rather qualify the workflow clearly than promise that every record synchronizes both ways."

Workiz contradicts itself three ways, and it matters because the wrong version is the one machines read. Its QuickBooks pages say data flows "one-way, from Workiz to QuickBooks". Its invoicing page claims a "two-way integration with QuickBooks Online", and that is the version published as structured data for search engines. Its pricing page then calls the feature "QuickBooks online sync" while both QuickBooks pages advertise Desktop. FieldEdge, meanwhile, claims "the only real-time sync between QuickBooks and a field service management software" without ever stating which way its own data moves.

What the QuickBooks connection costs

Five of the ten put the sync behind a plan, a fee or a phone call. Kickserv includes QuickBooks Online on its entry plan but charges $50 a month for Desktop, on the Run plan or higher, which it also prices at $480 a year. Housecall Pro requires Essentials or MAX for the Online sync. QuoteIQ starts it at the Pro plan, and hides the screen entirely unless a user permission is switched on. ServiceTitan gives it to every customer but only after a customer success manager enables it, and FieldPulse grants access when you ask support, without publishing whether a plan tier matters at all. FieldEdge, Service Fusion and Workiz include it on all tiers at no stated extra cost.

Which QuickBooks Desktop editions each platform actually names

Most vendors say "Desktop" and stop. Two are specific. FieldPulse names Contractor, Pro, Premier and Enterprise, and limits the integration to Desktop 2024 or newer on Windows, set up in single-user mode. Kickserv publishes the broadest list in the set: Pro, Premier, Enterprise, Mac and Self Employed, alongside QuickBooks Online, though Intuit has since discontinued the Mac product. Housecall Pro doesn't name editions but does name the constraints, and they bite: US versions only, nothing more than three years old, Windows 10 or higher, and a warning that Desktop "is prone to data loss when using auto-run and multi-user mode". ServiceTitan, Service Fusion and FieldEdge never say which Desktop editions they support. FieldEdge adds one edition requirement of its own: warehouse inventory management needs QuickBooks Desktop Enterprise with Advanced Inventory.

The QuickBooks catches that only show up after you connect

  • Housecall Pro: after the first sync, changes to an invoice's line items, quantities, prices and descriptions don't reach QuickBooks Online. Invoices deleted in Housecall Pro must be deleted in QuickBooks by hand, and printing an invoice doesn't push it across. On Desktop, editing a job in QuickBooks gets overwritten at the next sync.
  • Service Fusion: job deposits arrive before an invoice exists, so they sit in QuickBooks as unapplied payments, "Yes, even after the invoice has been created and synced". Online offers a conversion; on Desktop you apply it manually.
  • Kickserv: online fees added to invoices don't sync to Desktop, which leaves an overpayment or a credit and can stall the sync.
  • ServiceBox: record a payment in one system only, and correct a posted invoice by deleting it in QuickBooks Online, fixing it in ServiceBox and syncing again. It also cannot create QuickBooks Online Projects.
  • FieldPulse: a customer name over 31 characters fails the sync, and characters like $, &, #, @ and colons cause errors. Custom fields never sync.
  • QuoteIQ: a colon in a customer name breaks the sync, and a connection left dormant has to be re-authorized because Intuit's tokens expire.
  • ServiceTitan: return transactions and inventory adjustments don't export to QuickBooks Online at all.

What if your books aren't in QuickBooks?

The options thin out fast. Jobber syncs to Xero one-way on its Connect and Grow plans, with no initial import and no backdating. FieldPulse has Xero too, but only for customers in Australia and New Zealand, so it's no help to a US shop. ServiceTitan lists Xero on its integrations page, but the only "coming soon" label we could tie to a row belongs to a different integration, and the carousel's markup doesn't reliably bind those labels to names, so treat Xero as named rather than confirmed. For Sage, ServiceTitan lists Sage Intacct and Sage 50 US/Canada, FieldEdge names Intacct, and ServiceBox supports Sage 50 Canada only. The other platforms name neither. If you're on Xero or Sage today, that fact decides more than any feature comparison will; the accounting software guide covers what each package costs.

QuickBooks and field service software questions

Which field service software works with QuickBooks Desktop?
Seven of the ten platforms we track connect to QuickBooks Desktop: Kickserv, FieldPulse, Housecall Pro, ServiceTitan, Service Fusion, ServiceBox and FieldEdge. Workiz advertises Desktop on its QuickBooks pages while its pricing page calls the feature QuickBooks Online sync, so its own site does not agree. Jobber and QuoteIQ both state plainly that they support QuickBooks Online only. Kickserv charges $50 a month for the Desktop sync on its Run plan or higher; the others charge nothing extra, though ServiceTitan needs a rep to switch it on and FieldPulse needs a support request.

Does field service software sync two ways with QuickBooks?
Rarely, despite the marketing. Kickserv claims a genuine two-way exchange of invoices, payments, customers and items. FieldPulse lets you choose one-way or two-way for estimates and invoices. Housecall Pro documents one-way for both QuickBooks products, ServiceTitan runs a batch export, and Service Fusion limits its bi-directional claim to customers, products and services. ServiceBox assigns a direction per record type and says so.

Is there a plan requirement for the QuickBooks integration?
Often. Housecall Pro requires Essentials or MAX for the QuickBooks Online sync. QuoteIQ starts at its Pro plan. Jobber needs Connect or above. Kickserv includes Online on its entry plan but puts Desktop on Run with a $50 monthly add-on. ServiceTitan includes it on every plan but a customer success manager has to enable it, and FieldPulse grants access on request without publishing whether a tier matters.

What goes wrong with QuickBooks syncs in practice?
The common failures are documented by the vendors themselves: Housecall Pro stops updating invoice line items after the first sync, Service Fusion leaves job deposits as unapplied payments, Kickserv online fees do not reach Desktop and create overpayments, ServiceBox requires you to record each payment in only one system, and FieldPulse and QuoteIQ both fail on customer names containing special characters or colons.

The verdict on QuickBooks and field service software

On QuickBooks Desktop, the honest shortlist is Kickserv and FieldPulse, because they are the only two that name the editions they support and describe a two-way exchange. Budget for Kickserv's $50 a month on top. If you're on QuickBooks Online and want the fewest surprises, Kickserv and FieldPulse again, then Housecall Pro once you accept that invoice edits stop flowing after the first sync. Whichever you pick, ask the salesperson which direction the data moves and get the answer in writing: on the evidence of their own pages, several of them don't agree with themselves.

The Stack Builder treats your accounting system as a hard filter and removes platforms that can't sync it, the accounting software guide prices QuickBooks against Xero, FreshBooks and Wave, and the pricing database carries every plan price with its source.
