HVAC Scheduling Software

Scheduling software fills the weeks ahead: tune-ups booked around the spring rush, maintenance-agreement visits that come back on their own, reminder texts that cut no-shows, and customers booking a slot from your website at nine at night. Ten platforms compared on the scheduling features their own pages claimed, last checked October 2, 2026.

Scheduling software or dispatch software: which one your HVAC shop needs

Scheduling is the weeks ahead; dispatch is today's board, the trucks on the map and the reshuffle when a call runs long. Plenty of shops need the first without the second: an owner with two techs who books every job has no dispatcher, but still loses money to missed tune-ups and no-shows. If today's board is your problem, the HVAC dispatch software guide covers it.

One more distinction. A standalone booking tool books a time slot on a calendar. The platforms below book a job onto a technician's schedule: Housecall Pro offers slots based on your service area and job duration, and ServiceTitan applies the same job types, zones and capacity rules your office uses. For a service business, that's the difference between a meeting and a truck arriving at the right house.

HVAC booking software: where an online booking lands

"Online booking" means three different things across these platforms, and the difference decides whether a customer at nine at night gets a confirmed appointment or a promise of a callback.

  • Booked straight onto the schedule: Housecall Pro ("New jobs are instantly added to your team's schedule"), FieldPulse's booking portal, and ServiceTitan's Scheduling Pro, one of its separately named Pro products.
  • Your choice per form: Workiz lets bookings enter as active jobs or leads to review; Jobber has request forms that need review and job booking forms that schedule the job.
  • A request someone confirms: Service Fusion's portal is an add-on below its Pro plan, and its own help article says customers should understand it's "a REQUEST for service and it's not a definite time/date". ServiceBox's intake form sends requests to the office, and FieldEdge's customer portal lets customers request appointments, included on its Elite plan and sold as an extra below it.

Kickserv's customer portal lets clients request service online, but its pages don't say whether that lands on the schedule or waits for the office.

QuoteIQ's own pages disagree on whether a booking waits for your approval or goes straight onto the calendar, so ask before you rely on either. Booking from Google search through Reserve with Google is claimed by ServiceTitan, Housecall Pro and Workiz; Jobber connects booking forms to your Google Business Profile. Five platforms also book by phone, text or chat without a person: ServiceTitan's SMS booking, Housecall Pro's CSR AI, Workiz's AI answering, FieldPulse's Operator AI and Jobber's Receptionist. FieldPulse and Workiz sell theirs as add-ons, Jobber includes Receptionist on its Plus plan, and ServiceTitan sells Scheduling Pro as a separate product.

HVAC scheduling software questions

What is the best scheduling software for HVAC companies?
It depends on what fills your calendar. For customers booking themselves online, Housecall Pro and Workiz take bookings from your website and Google. For maintenance-heavy calendars, Jobber manages recurring visit series and ServiceBox generates visits from maintenance agreements. ServiceTitan adds seasonal capacity rules for larger shops, and QuoteIQ and Kickserv cover small crews on a budget.

Can HVAC customers book appointments online?
Yes, on most platforms, but the booking lands differently. Housecall Pro, FieldPulse and ServiceTitan’s Scheduling Pro put it straight onto the schedule. Workiz and Jobber let you choose per form. Service Fusion, ServiceBox and FieldEdge treat it as a request your office confirms. QuoteIQ’s own pages disagree on whether bookings wait for approval, and Kickserv’s don’t say where a portal booking lands.

Which HVAC scheduling software handles recurring maintenance visits?
Jobber, Housecall Pro, ServiceBox, QuoteIQ, FieldPulse, Workiz, Service Fusion and Kickserv claim recurring jobs or visits on their own pages, and ServiceTitan books maintenance as Recurring Services. ServiceBox generates them from preventative-maintenance intervals and agreements. FieldEdge does not describe recurring visit scheduling on the pages we checked.

What is the best HVAC booking software?
For bookings that land as confirmed appointments, Housecall Pro and FieldPulse add online bookings straight to the schedule, and ServiceTitan does the same through its Scheduling Pro product. Workiz lets you choose whether a booking becomes a job or a lead to review, and can take a deposit. If you would rather confirm every request by phone, Service Fusion and ServiceBox work that way.

Is there free HVAC scheduling software?
Not among the ten platforms we track: none publishes a free plan. The cheapest published entry points are QuoteIQ from $25 a month and Jobber from $29 a month on annual billing. Several state a free trial on their own pages: Kickserv for 30 days with no card needed, QuoteIQ and Housecall Pro for 14 days, and Workiz offers one without stating the length.

Which HVAC software works with Reserve with Google?
ServiceTitan through its Scheduling Pro product, Housecall Pro and Workiz name Reserve with Google on their own pages, so customers can book from Google search results. Jobber lets you connect a booking form to your Google Business Profile.

The verdict on HVAC scheduling software

If you want the phone to ring less and the calendar to fill anyway, the deciding question is where an online booking lands: Housecall Pro, FieldPulse and ServiceTitan's Scheduling Pro book it, Workiz and Jobber let you choose, QuoteIQ's pages disagree, and the rest hand you a request to confirm. If maintenance agreements are the business, pick the platform that repeats visits for you, Jobber for residential or ServiceBox for commercial. And past ten techs in peak season, ServiceTitan's capacity rules earn their sales call.

The Stack Builder scores all ten platforms on your answers, and the dispatch guide covers the board, GPS and who picks the tech.
