Plumbing Invoice Software

A plumbing invoice has two jobs: leave with the truck, and get paid without a follow-up call. Ten platforms compared on invoicing from the phone, billing long jobs in stages, charging cards on file, and what they take from every card payment. Checked September 16, 2026 against their own pages.

Which plumbing invoice app fits your shop

Card and bank fees printed up front

Our pick

Housecall Pro$59–329/mo

Card processing from 2.59% and ACH at 1%, printed on its own pages. Repipes billed in stages by amount or percentage, cards on file charged automatically, and reminders that chase overdue invoices for you.

Rates printed, with one contradiction

Our pick

Kickserv$48–199/mo

Tap to Pay at 2.9%, keyed cards at 3.9%, ACH at 1% plus 30 cents, with instant payouts for another 1%. Its payments page promises one rate whatever your plan, while another of its pages advertises a lower rate for its top plan, so get the number in writing.

Long jobs billed at milestones

Our picks

Jobber$29–499/mo
WorkizOn request

Jobber sets payment schedules tied to job milestones and takes tips online. Workiz takes a deposit to confirm the job, then collects at each milestone, with late fees and a tipping prompt.

The office checks every invoice first

Our pick

ServiceBox$75–330/mo

Built for commercial plumbing: field work becomes an invoice only after office review, with deposits before materials are ordered, milestone payments during the project, and a sync to QuickBooks or Sage 50.

Invoicing a repipe: deposits, stages and the final bill

A service call invoices once. A repipe or a sewer line replacement ties up a crew for days and needs money before the materials are ordered, so the feature to look for is progress billing. Housecall Pro bills by a set dollar amount or percentage and names repipes while doing it. Jobber ties payment schedules to job milestones. Workiz and ServiceBox both take a deposit up front and collect at milestones after that. Service Fusion has it too, but progress billing is an add-on unless you're on its Pro plan, which is the kind of detail that only turns up on the invoice for the software.

Plumbing invoicing features and card fees compared

"Not claimed" means the vendor's own pages don't state it, and "Not published" means no processing rate is printed anywhere we could read. Both are facts about the pages, not the products.

What card processing costs a plumbing business

Three of the ten print a rate. Housecall Pro says card processing starts at 2.59% and bank payments cost 1%. Service Fusion prints rates as low as 2.90% plus 30 cents. Kickserv prints 2.9% for Tap to Pay, 3.9% when the card isn't present, and 1% plus 30 cents for ACH, with instant payouts costing another 1%. Read those as floors, not quotes: a point and a bit of spread works out to about $118 on a $9,000 repipe, which is why the rate belongs in the contract rather than in a sales call.

The other seven leave it open. ServiceTitan says fees vary by payment method and agreement, FieldEdge says rates are tailored to your volume, and ServiceBox says the payment provider sets them. QuoteIQ is a special case: its plumbing page prints Stripe's rate, but its own August 2026 update says new accounts now run on a different processor, so we publish no QuoteIQ rate at all. Kickserv is worth one more look too, because a separate page on its own site still advertises "as low as 2.5% + 30 cents" for its top plan while the payments page promises a single rate for everyone.

Getting plumbing invoices into QuickBooks

All ten sync to QuickBooks, though QuoteIQ's sync starts on its Pro plan, and the catches are in the direction and the tidying up afterwards. Workiz contradicts itself: its invoicing page calls the QuickBooks Online sync two-way, while its QuickBooks page says data flows one way, from Workiz to QuickBooks. Service Fusion syncs customers, products and services both ways, and pushes job deposits, invoices and payments across. ServiceBox asks you to record each payment in one system only, and to fix a posted invoice by deleting it in QuickBooks Online and syncing again. If your books live in QuickBooks Desktop, that decision is made before you get this far; the accounting guide covers which platforms reach Desktop at all.

Plumbing invoice software questions

What is the best invoice app for plumbers?
For most shops it is the invoicing built into the field software, because the job, the parts and the hours are already there. Housecall Pro is the most complete on plumbing: progress billing for repipes, cards on file charged automatically, batch invoicing of recurring accounts, and published card rates from 2.59%. Kickserv is the cheapest published option that still prints its processing rates.

Can you invoice from a phone on the job?
Yes, on nine of the ten platforms we track. Jobber, Housecall Pro, FieldPulse, QuoteIQ, Kickserv, Workiz, Service Fusion, ServiceTitan and FieldEdge all describe creating and sending the invoice from the mobile app before leaving, and taking payment on the spot with Tap to Pay or a card reader. ServiceBox is the exception by design: invoices are created after the office reviews the completed work.

How do plumbers bill a repipe in stages?
Use progress invoicing or milestone billing. Housecall Pro bills by a set dollar amount or percentage, Jobber ties payment schedules to job milestones, and Workiz and ServiceBox take a deposit to confirm the job and then collect at each milestone. On Service Fusion, progress billing and recurring invoicing are add-ons on the Starter and Plus plans and included on Pro.

What do plumbing software companies charge to process cards?
Only three print a rate on their own pages: Housecall Pro from 2.59% for cards and 1% for bank payments, Service Fusion from 2.90% plus 30 cents, and Kickserv at 2.9% for Tap to Pay, 3.9% keyed and 1% plus 30 cents for ACH. ServiceTitan, FieldEdge, Jobber, FieldPulse, Workiz and ServiceBox publish no rate, and QuoteIQ is mid-switch between processors, so no current rate can be quoted.

The verdict on plumbing invoice software

If you want the fees in writing before you sign, the shortlist is Housecall Pro, Service Fusion and Kickserv, because they are the only ones that print them. If you bill long jobs, look for progress invoicing by name and check which plan it sits on. And if a platform won't print a processing rate, ask for it in the quote; on a busy month that number costs more than the software.

The Stack Builder scores all ten platforms on your answers, the plumbing software overview covers the rest of the stack, and the HVAC invoice guide answers the same questions for heating and cooling.
